How to Pick the Best Self Storage Software Without a Demo Marathon

Six vendor demos at an hour each is a day gone, and you still end up comparing from memory. Most of what separates these systems can be checked at your desk first. The desk research, a demo script, and a scorecard to fill in during the call.

Six demos at an hour each is most of a working day, and at the end of it you are comparing from memory and a stack of sales decks. Most of what separates storage software can be checked in twenty minutes at your desk, before you book anything. The demos that follow are shorter, and you run them instead of sitting through them.

There is no best self storage software, only the one that fits your site

A 60-unit rural site with one part-time manager and a 900-unit portfolio with a call center are not shopping for the same product. Write down five things before you talk to anyone.

  • Locations now, and locations in three years.
  • Unit count, plus how many staff need their own login.
  • The gate brand on your site, by model.
  • Who processes your cards today, and the rate you pay.
  • Whether the website needs replacing or just connecting.

That list turns a vague search into a scoring exercise. It also stops the demo turning into a tour of features you will never touch.

Do the desk research before you book anything

Who actually owns the software

Storable owns SiteLink, storEDGE, Easy Storage Solutions and the SpareFoot marketplace, along with Select Merchant Solutions, Storsmart and Bader Insurance. SiteLink's own site says it is moving to the Storable site.

A shortlist of SiteLink, storEDGE and Easy Storage Solutions is therefore a shortlist of one company's roadmap. That is worth knowing rather than disqualifying.

Whether they publish a price

QuikStor and Storeganise publish rates. Storage Commander lists plan names with no prices, 6Storage states on its pricing page that it does not list fixed pricing, and Yardi quotes its self storage edition individually. Tenant Inc says it charges a setup fee when you sign, then a monthly rate that varies with property size and processing.

None of that is a problem by itself. It tells you how much chasing it will take to get numbers you can line up side by side, which what storage software costs covers model by model.

Your gate brand against their integration list

This is the check that derails projects when it is skipped. Integrations are specific pairings, and the access control vendors publish their own lists.

  • PTI lists StorLogix Cloud integrations with Yardi Breeze Premier, Storable Edge and Self Storage Manager.
  • OpenTech lists INSOMNIAC CIA integrations with Tenant Inc's Hummingbird, Storeganise, 6Storage, QuikStor, Storman and RADical Systems.
  • Storable lists access control partners including Noke, PTI, Sentinel, Bearbox and OpenTech.

Find your keypad model, then check both sides. Believe the software vendor when the gate vendor says the same thing in public.

Whether there is an API and a status page

An API matters even if you never touch it, because it decides what you can bolt on later: a call center, a listing site, a rate tool. Storeganise includes API access in every subscription. Tenant Inc publishes an open JSON and REST API with two-way sync. SiteLink's API feeds websites, call centers and marketing systems.

A public status page is the quieter tell. SiteLink runs one at status.sitelink.com. A vendor willing to publish its outages expects to be measured on them.

Support hours against gate hours

SiteLink publishes technical support from 8am to 8pm Eastern on weekdays, and 9am to 6pm at weekends. Hold that against when your tenants are actually at the gate, which is evenings and Sunday afternoons.

The demo script: six tasks, thirty minutes

Book a 30-minute demo with each shortlisted vendor and hand them the same six tasks. Ask them to drive, live, in the product, using unit sizes like yours.

  1. Rent a unit on my phone from your website, start to finish, lease signed and first payment taken.
  2. Run a late fee on an overdue tenant and show me the notice that goes out.
  3. Show me this month's lien list and the letter it produces.
  4. Raise the rate on 40 units and show me the notice the tenant gets.
  5. Export a management summary to PDF.
  6. Lock a tenant out at the gate, take a payment, then show me the access come back.

Five minutes each. A vendor who needs a second call for half of them has answered a different question, which is also useful.

Before you sign anything

Get the money in writing: the merchant account fee schedule, texting, e-signature, setup, and what the price does at renewal. QuikStor publishing $999 for implementation is a useful benchmark when a competing vendor will not put setup in the quote at all. The charges that appear after signing are worth reading before the call, not after it.

Whichever vendor scores highest on your sheet is the right answer for your facility. It will not match the answer the person in the Facebook group got, and it is not supposed to.

What is the best self storage software?

There is no single answer. Match the software to your unit count, gate brand, card processor and website situation, then score the shortlist on the same six tasks in the demo.

How many vendors should I demo?

Three is usually enough once the desk research is done. Six one-hour demos produce a blur and a pile of sales decks.

Are SiteLink and storEDGE different companies?

No. Storable owns SiteLink, storEDGE, Easy Storage Solutions and the SpareFoot marketplace, so a shortlist of those is one company's roadmap.

How do I know the software will work with my gate?
