Ten working days for the counter jobs, a quiz every morning, and a check again at day 30. Why that pace fits what memory research shows, and who pays for the hours.
Plan on ten working days of storage manager software training for the daily counter jobs, and about 12 months before a new manager runs the site at full strength. The 12 months is Gallup's figure: its onboarding research says new employees typically take around 12 months to reach peak performance. The ten days is a planning estimate for one site, not a measured average: one new job a day, practised on the real screens, and a short quiz the next morning.
Gallup reports that only 12% of U.S. employees say their company does a good job of onboarding, and only 29% of new hires feel fully prepared and supported to excel once it ends.
How long storage manager software training should take
Two things set the pace: how fast people forget, and how little of a full-day walkthrough survives the night.
Hermann Ebbinghaus measured forgetting on himself in 1879 and 1880, across 163 paired tests of learning and relearning. In chapter 7 of his Memory, he reports that one hour after learning a series, half the original work had to be spent again before he could recite it. After 24 hours about a third of the effect remained, after 6 days about a quarter, and after a month about a fifth.
His lists were nonsense syllables, not refund screens, but the steep drop in the first day is the part that matters. A manager who watched every screen on Monday will hunt for the refund button on Thursday, so the plan below adds one job a day and tests it the next morning.
Why a quiz beats a second walkthrough
Henry Roediger and Jeffrey Karpicke tested this in 2006. In their second experiment, students who studied a passage in one five-minute session and then took three recall tests remembered 61% of it a week later. Students who spent all four sessions studying it remembered 40%. The rereaders got through the passage 14.2 times on average, against 3.4 for the tested group, and they were the more confident of the two groups about remembering it.
The same study shows the trap. On a test given five minutes later, rereading won, 83% against 71%.
A trainer who asks "got it?" at the end of a walkthrough is reading the five-minute result.
For a storage counter, the quiz is a job, not a question. Hand the new manager a task with no instructions: a renter calls from a number, find them and read out the balance.
A ten-day storage manager software training plan
This plan is illustrative, for one site and one new manager working beside an experienced one. Each day adds a job, and each morning opens with a quiz on the day before.
| Day | New job | Next morning's quiz |
|---|---|---|
| 1 | Reading the site map and what each unit color means | Point to every vacant and every overlocked unit |
| 2 | Opening a tenant record: units, ledger, notes | Find a renter by phone number and read out the balance |
| 3 | Taking a payment by card, cash and check | Post a cash payment with nobody helping |
| 4 | Logging calls, notes and promises to pay | Read yesterday's notes and say who promised what |
| 5 | A full move-in, from reservation to first payment | Rent a vacant unit to a pretend walk-in |
| 6 | Move-outs and ending gate access | Move out a pretend renter and confirm the gate code no longer works |
| 7 | Late fees and who went late overnight | Name every renter who is late today |
| 8 | Waivers, refunds and who approves them | Say which money actions need the owner |
| 9 | Lien stages and the day thresholds you set | Explain where one late renter sits in the process and what happens next |
| 10 | A full shift at the counter with the trainer watching | Open the site alone |
Day 5 deserves the most repetition. A move-in touches the unit, the renter, the lease and the first payment, so if the day 6 quiz goes badly, run the move-in again before adding anything new.
The checks carry on after day 10. Repeat the three quizzes the new manager found hardest around day 15 and again at day 30. By Ebbinghaus's numbers, forgetting slows a lot after the first day, so a check two weeks later finds the jobs that never stuck.
Who pays for storage manager software training time?
You do, for an hourly manager. Under the federal rule at 29 CFR 785.27, training time can be left off the timesheet only when all four conditions hold: it is outside regular working hours, it is in fact voluntary, it is not directly related to the job, and the employee does no productive work during it.
Counter software training fails at least two. Section 785.29 calls training directly related when it is designed to make the employee handle the current job more effectively, and section 785.28 says attendance is not voluntary if the employer requires it. So the "read the help pages at home tonight" assignment is paid time as well.
Put the sessions on the schedule and on the timesheet. Your state's wage rules may add to the federal ones, and a salaried manager may be treated differently, so check how your own staff are classified.
Should a new manager hold a storage certification first?
Do not build the plan around one for now. The Self Storage Association says new Certified Self Storage Manager (CSSM) certifications are temporarily on hold while it updates the program.
The association does sell a screen for hiring. Its Facility Manager Aptitude eTest costs $75 per test and has been in use since 2009. The SSA says it was built from focus groups with more than 100 owner-operators and managers and from watching 15 managers through their working day. It measures personality traits linked to job behavior. It will not tell you whether a person can run your software. The ten days are for that.
Who should run the training?
The person who will work beside the new hire. Not the owner who sat through the sales demo, and not a video library. Gallup found that when the manager takes an active role in onboarding, employees are 3.4 times as likely to say their onboarding was successful.
Recorded videos are a reference for day 12, when a renter asks for something rare. As a first lesson they lose for the same reason rereading lost in 2006.
Which training days the software can shorten
Some rows of the table shrink when the system keeps less in separate places. In Smart Storage Software, the site map is a color-coded floor plan showing what is rented, vacant, reserved and overlocked, so day 1 is a legend and a walk of the screen rather than a walk of the rows. Each renter has one profile holding their units, payment ledger, signed documents, notes and contact history. A call or promise to pay logged at the counter is there for the next person who opens the record, which covers most of day 4. The screens are on the self storage management software page.
Write the ten quiz tasks before the new manager's first day. A day you cannot write a quiz for is a day with no way to tell whether the training worked.
Questions owners ask about training a new manager
How long does storage manager software training take?
Plan on ten working days of short daily sessions for the counter jobs at one site. That is a planning estimate, not a measured average. Full strength takes much longer: Gallup puts the time for new employees to reach peak performance at around 12 months.
Do I have to pay a manager for software training time?
For an hourly manager, almost always. Under 29 CFR 785.27, training can be left off the timesheet only when it is outside regular hours, voluntary, not directly related to the job, and involves no productive work. Training on the counter system is directly related to the job.
Can a new manager get the CSSM certification?
Not at the moment. The Self Storage Association says new Certified Self Storage Manager certifications are temporarily on hold while it updates the program.
Should a new manager start with the vendor's training videos?
Use them as a reference, not as the first lesson. In Roediger and Karpicke's 2006 study, students who spent four study sessions on a passage recalled 40% of it a week later, against 61% for students who studied it once and took three recall tests.
When should I check the training again?
Repeat the three hardest quizzes around day 15 and again at day 30. Ebbinghaus found forgetting steepest in the first day, so a later check catches what never stuck.
