The subscription is the easy part to compare, because what self storage software costs per unit is published by a few vendors and quoted by the rest. The remainder of the bill is where the surprises live.
Where self storage software hidden fees come from
Three places, mostly. Payment processing, billed per transaction and per problem. Per-item services like texts and signatures, which look trivial until you multiply them by your tenant count. And one-time work: setup, data migration, training.
None of this is dishonest on the vendor's side. A quote shows the recurring software fee and leaves out everything metered, because the metered part depends on how you run the place.
Payment fees hold the real money

Chargebacks
Stripe charges $15 for each dispute in the US, deducted when the dispute opens. Contest it and a separate countered fee applies, which Stripe returns if you win. The original $15 never comes back, even when the cardholder was wrong.
Storage operators see these after a lien sale or a move-out that went badly. Ask what your vendor's processor charges per dispute, and who handles the response.
PCI and monthly account charges
Some processors add a monthly PCI compliance fee, a statement fee, or an annual non-compliance charge when the paperwork isn't filed. Others add none: Square states it charges no monthly fees, no PCI compliance fees and no cancellation fees, with a published online rate of 2.9% plus 30 cents, or 3.5% plus 15 cents for a card keyed in by hand.
The paperwork exists either way. Under PCI DSS v4.0.1, a merchant that has fully outsourced card handling to compliant providers validates using SAQ A, the shortest questionnaire, and the acquiring bank sets how and when it gets filed.
Ask for the whole fee schedule rather than the headline rate: every per-transaction, monthly and annual charge on the merchant account.
Per-message and per-signature charges
Texts and picture messages
Twilio's published US rate is $0.0083 per SMS segment plus a carrier fee, and $0.02 for an MMS carrying up to 10 media files. A local number is $1.15 a month. Adding MMS to a short code carries a $500 one-time carrier fee.
So a text costs roughly a cent to send. If a quote prices texts at several cents each, that is a markup, and it is fair to ask what it covers. Ask whether renter emails and text notices are bundled, metered, or billed at cost.
E-signatures
Lease signing is the other per-item charge. DocuSign's Personal plan includes five envelopes a month. The Standard and Business Pro annual plans include 100 envelopes per user per year, and the monthly versions include 10 per user per month. Past the allowance, each extra envelope is billed on its own.
If a quarter of your 300 units turn over in a year, that is about 75 leases before you count addenda and move-out paperwork (worked example). Inside a bundled plan that costs nothing extra. Priced per signature, it adds up quietly.
Website, domain and certificate charges
A hosted website is a fair thing to charge for. QuikStor publishes $25 a month per facility for its WordPress site, and what you are buying is the building and the hosting.
The two inputs underneath are cheap or free, which is worth knowing. Cloudflare Registrar sells domains at cost with no markup. Let's Encrypt issues TLS certificates free and currently covers more than 360 million domains.
If a vendor bills separately for a domain, a certificate or a secure site line item, ask what the charge covers. Then ask who keeps the domain if you leave.
Auction fees sit outside the software

Lien sales run through auction platforms, not your management system. A StorageTreasures seller account is free to open. After that the platform takes a 10% seller premium on every unit sold and charges $20 for a canceled auction. Buyers pay a premium of their own, 10% for members and 15% otherwise.
The cancellation fee is the one to watch, because a tenant who pays at the last minute is the outcome you actually wanted.
